Document Automation: Creating a Template

Amberlo's Document Automation feature allows you to create a Document Template with Merge Fields from your Contacts, Matters, and Contracts. These Merge Fields automatically pull information from a Matter, Contact or Contract in Amberlo and put them into your documents - saving you time on data entry and proofing. You will be able to generate a Document and fill in the matching information with a few clicks. Merge Fields are available for the client's name, address, Custom Fields, and much more. 

How Do I Generate a Document Using My Template?

Document Templates are Word documents that you use over and over again, but with specific details changing from Matter to Matter, and etc. These templates are used to create a new document. 

Follow the steps below to get started:

Access the List of Available Merge Fields

You can view the complete list of available Merge Fields by going to the Amberlo Settings panel, then click Documents (1) in the left-hand column and select area (Contact, Matter or Contract) from where you want to generate documents (2). Selecting a particular data record will generate data preview for that data record.

Open Your Template

Find the template document that you want to add Merge Fields to. Supported template file types are: ".docx", ".pptx", and ".xlsx".

Open the template document and start creating your Document Template. Insert a merge field where you would like the value to show in the document. You can quickly copy a merge field from Amberlo by clicking the Copy button (  )to the right of the field. For example, if you'd like to address a client in the document you would add the << Matter.Contact.FirstName >> field, as seen below.

Go to the Documents Tab

Once you are content with the Template you created, go to the Document (3) tab, select the Document Templates (4):

 Once there, click the + button (5) to upload the Template (6). Here you will be asked to assign it to one of your firm's documents folders (7). Next, click Save.

Note: make sure to upload a non-protected".docx" file.

Once you have finished creating your Document Template with all of your Merged Fields, you are able to generate the document for different Matters, Contacts or Contracts. The Template will now be available for selection from the Document window in Contact, Matter or Contract.

Note: each time you generate a new Document using that Template, the Merge Field will insert the corresponding value. For information on generating Documents using Templates, click here.
