How to enable and use Budget for Matter or Client?

Gain ultimate control and total visibility of all your matters by creating budget for Client or just for the Matter. This means that your team will not exceed the budget allocated for the Client or Matter, because you can now view the budget screen defining the budgeted hours, fees, expenses, and invoice amount, the actuals, the remaining, and the progress bar for each. Moreover, Amberlo will notify you and your team members for when a Matter or Client reaches a particular percent or currency value (EUR, PLN, USD, etc) of that budget.

The budget can be set for the Client and all his Matters or just for certain Matters.

 

Note: The budget feature is available only for Premium subscriptions.

How to enable Budget for Client?

1. Go to the Contacts module and open the selected Client.

2. Go to the tab Main information.

3. Click the Edit button How to enable and use Budget for Matter or Client 1 in the Budget widget:

You will be navigated to the Client's Budget Settings:

4. Mark the checkbox "Set budget for this contact" to enable Budget for Contact.

5. Enter Budget Amount.

6. Mark the checkbox "Budget includes Expenses" if you want the budget to include expenses.

7. Mark the checkbox "Show alerts if the budget was or will be exceeded" if you want to see this alert.

8. Mark the checkbox "Notify users when contact reaches selected amount of budget" if you want to receive this notification. You will receive web and email notifications.

9. Once the checkbox "Notify users when contact reaches selected amount of budget" is marked, you should enter the % Amount of budget.

10. Choose the users you want to send notifications to. If you leave this empty, notifications will be sent to all team members.

11. Click the button Save to save your changes:

If the Budget function for Client is enabled, the Budget widget will be displayed defining the expenses, and invoice amount, the actuals, the remaining, and the progress bar. Also, you can additionally add Timesheets/Expenses from the Budget widget as well:

The Timesheet/Expense log window will display the total Budget amount and the Budget amount used:

If you try to create a Timesheet/Expense for a Client with a Budget, Budget Alert will be displayed. Click the Ok button if you anyway want to add Timesheet/Expense:

Mark the checkbox "Don't ask me again"  (1) and then click the Ok (2) button if you don't want to see this alert any more:

Note: To get Budget Alerts, this function must be enabled in Contact Settings.

 

Once the function "Notify users when contact reaches selected amount of budget" is enabled, the selected user will receive web and email notifications:

How to enable a Budget for the Matter?

1. Go to the Matters module and open the selected Matter.

2. Go to the tab Main information.

Once you are in Matter Budget Settings, you can choose to Use Contact Budget Settings or Set Budget for this Matter:

Enabling the Budget function for Matter is the same as enabling the Budget function for the Client.
